Privacy Policy

This policy covers the Tatzel Labs client portal at portal.tatzel-labs.com — scheduling, appointments, files, and the tracker — and the reminders it sends. Our company-level policy, covering the marketing site and general correspondence, is at tatzel-labs.com/privacy.

1. Who we are

Tatzel Labs LLC, an independent software publisher organized in the Commonwealth of Massachusetts. Office of record: c/o Northwest Registered Agent Service Inc, 82 Wendell Ave. STE 100, Pittsfield, MA 01201, United States. Contact: privacy@tatzel-labs.com.

2. What the portal holds

• Your contact details. Name, email address, and — only if you provide one — a mobile number. For clients with an account these come from the account; for guests booking through a share link, from the booking form.
• Appointments. When a meeting is, how long, how it happens, and any subject, agenda or notes recorded against it. Agenda and notes are visible to both sides by design.
• Files you upload. Attachments on tracker items, invoices, or appointments, stored in object storage and served back only through short-lived links to people entitled to them.
• Sign-in records. Session and passkey data needed to keep your account yours.

We do not run advertising, behavioural tracking, or third-party analytics inside the portal.

3. Text message reminders

Choosing a text reminder is optional and never pre-selected. If you leave it alone, reminders go by email. The whole programme — every message we send, how consent is collected, and how to stop — is written out at portal.tatzel-labs.com/sms.

• What we send. One reminder per appointment you have booked, shortly before it starts. No marketing, no promotions, no recurring messages.
• What we record. The mobile number you entered, the exact wording of the consent notice that was on screen when you chose a text, and the time you chose it. We store the wording verbatim rather than a version number so the record can be read years later without reference to anything else.
• If you opt out. Your number is recorded as opted out and that record is kept, because forgetting it is how somebody who asked us to stop gets texted again. Any appointment still expecting a text quietly moves back to email.
• Cost. We do not charge for reminders. Message and data rates may apply under your own mobile plan.

We do not share or sell mobile numbers, opt-in information, or consent records to third parties or affiliates for their own marketing purposes. They are used only to deliver the reminder you asked for.

4. Who else touches your information

Only service providers acting on our behalf, and only as needed to run the portal:

• Twilio Inc. and the mobile carriers, to deliver text messages.
• Resend, to deliver email.
• Cloudflare, for file storage and network protection.
• Hetzner, where the portal itself runs.

We do not sell personal information, and we do not use it for behavioural advertising.

5. Calendar invitations

An appointment confirmation carries a calendar invitation. Adding it puts the appointment — including any agenda and, for video meetings, the join link — into whatever calendar you add it to. That calendar is governed by its own provider's policy, not this one.

6. Retention

Appointments, notes and files are kept while the working relationship lasts and for as long afterwards as we need them for accounting and legal obligations. Opt-out records are kept indefinitely, because their whole purpose is to outlast everything else. To request deletion, email privacy@tatzel-labs.com.

7. Your rights

Depending on where you live you may have rights to access, correct, delete, or restrict use of your personal information, and to object to certain processing. Email privacy@tatzel-labs.com and we will answer.

8. Children

The portal is intended for businesses and adults. It is not directed to children under 13 and we do not knowingly collect their information.

9. Where we operate

We operate from the United States, and information in the portal is processed there.

10. Changes

We may update this policy and will revise the effective date above. If a change affects text messaging, it applies to new bookings only — a booking keeps the consent wording its reader actually saw.
